Enrollment, sales and finance

How do you define education packages, prices, and installment terms in Course?

Education programs offered for sale in Course are defined in the product catalog. A product record contains a code, name, category, brand, price, duration in months, maximum installment count, description, and active status. These fields should describe the package clearly when it is selected for a sale.

Adding a product to the catalog does not mean it has been sold to every student. The products, quantities, and payment terms are set during a sale; the prices used for that transaction are stored in the sale record.

Create the education package in the catalog

  1. Prepare the category and brand.

Choose the product category and associated brand from existing records. The category classifies the education in the catalog; the brand identifies the brand associated with the product.

  2. Describe the product and its scope.

Enter a product code and name. The code must be unique within the workspace. Describe the education and the content actually provided; include enough detail to distinguish products with similar names.

  3. Complete the price and duration fields.

Check the base price, duration in months, and maximum installment count. The length of the education and the payment period are different things.

  4. Check the product's availability.

Save the product, then find it using the category, search, and active/inactive filters. Separately check the price shown on the sale screen and the payment plan created for a sale.

Keep catalog details and sale details distinct

Adding a product to the catalog does not create a class, lesson session, or student enrollment. Create the corresponding records in their own screens when organizing the education associated with that product.

Keep catalog details and sale details distinct
Catalog detailHow it relates to a sale
Product name and categoryThe name and category at the time of the transaction are stored on the sale line.
Base priceProvides a starting point for the sale's unit price; the actual sale price can be reviewed separately.
Education durationDefines the product's duration; it does not create a lesson schedule by itself.
Maximum installment countA condition stored in the catalog; check the installment plan actually created for the sale separately.
Active statusShows whether the product is active in the catalog.

What do price tiers provide?

In the product editor, you can define price tiers with lower and upper sales-count limits, a price, and a label. Leaving the upper limit blank makes the range open-ended. Review the complete tier list when saving the product.

In the current sales workflow, tier selection does not use a counter that advances with actual sales. Do not treat a tier as a promotion that automatically changes the price as sales increase. Check the unit price selected for each sale and the amount submitted for management approval.

Does changing a product price change earlier sales?

Sale lines store the product name, category, price used, and applied discounts as they were at the time of the transaction. A difference between the current catalog price and the price on an earlier sale is therefore not necessarily an error.

Correcting the terms of an earlier sale is subject to separate sale-editing rules. An approved sale is locked, and a sale with a collected payment cannot have its payment plan repriced. Do not use a catalog change as a way to rewrite past payment activity.

Frequently asked questions

Does the education duration determine the number of installments?

Education duration is product information expressed in months. During a sale, the installment count, first due date, and payment period are selected separately; check the resulting plan as well.

Can a product code be reused?

The system prevents a second product from being created with a code already used in the same workspace.

Do price tiers change automatically as sales increase?

The current sales workflow does not use a pricing counter that advances with the actual number of sales. Do not assume that defining a tier enables that behavior; verify the price for each sale.
