Setup and administration
In what order should you set up your first institution in Course?
The first-time setup screen asks for a brand name, the name of your first institution or branch, and an optional city. It links the first brand and institution and updates the workspace name to the brand name.
When the first institution is created, Course also prepares a default cash account and initial reference records. This provides a starting point for using the system; it does not mean every education package, teacher, or class has been set up.

Complete the essential setup in the order you need it
Create your first brand and institution.
Enter the actual brand and institution names on the setup screen. If you have not edited the institution field, the brand name can be used as its initial value; check the branch name before saving.
Set up the team and action permissions.
Review users and their roles. Decide who should manage inquiries, sales, approvals, collections, and education operations; do not infer permissions from a role's name alone.
Prepare inquiry and sales definitions.
Review sources, tag categories, and tags. If you will use sales, define product categories, brands, education packages, prices, and payment terms.
Set up teaching resources.
Prepare classroom capacities, teachers, and the institution's day-and-time timetable. Then create classes, student memberships, and lesson sessions.
Check the related records.
Review the actual institution, cash account, and team records. If you will use exams, set up the exam structure and answer key separately.
Which records does the first-time setup create?
Creating a default cash account does not record any actual money received. Define any other bank or cash accounts you need to reflect how your institution operates.
| Record | Role in the setup |
|---|---|
| Brand | The brand definition linked to the first institution. |
| Institution / branch | The first institution to which inquiry and operational records can be linked. |
| Workspace name | The workspace name updated to the brand name you entered. |
| Default Cash Account | A zero-balance cash account linked to the first institution if no cash account exists yet. |
| Initial reference records | Starting records such as inquiry sources and the Interest Area tag category. |
Can you use the setup flow again for a second institution?
Once a workspace has an institution, the first-time setup flow cannot run again. Create additional branches through institution management; rerunning initial setup is not the way to add a branch.
Institution names are used when matching records during inquiry imports. Similar names or incorrect brand links can make source and branch reports harder to interpret later. Clarify these definitions before transactions accumulate.
How do you know when the setup is sufficient?
That depends on the work you intend to do. Inquiry tracking needs an institution, sources, and an advisor arrangement; lesson planning also needs teachers, classrooms, timetables, and class relationships. An empty module does not necessarily mean the first-time setup failed: its relevant definitions may not have been created yet.
After setup, review whether the defaults suit your institution's workflow. Task completion rules, cancellation policy, and user permissions are separate areas. Completing the setup flow alone does not establish that every business rule is right for your institution.
Frequently asked questions
Is a city required during first-time setup?
A brand name and institution name are required; the city is optional.
Does the default cash account contain any money?
The default cash account starts with a zero balance. Actual money movements must be recorded separately.
Can the setup be completed a second time?
The first-time setup flow cannot run again once the workspace has an institution. Add further institutions through institution management.
