Inquiries and communication
How do you group inquiries and students with tags in Course?
Course uses tags to group inquiry and student records under shared labels. Each tag belongs to a category. The category and tag management screens let you review their names, existing entries, and active status.
A tag adds your institution's own classification to a record. Selecting one does not place a student in a class, change an inquiry's source, or create a sale. Those actions are handled through their own records.

Which field should hold each piece of information?
Storing the same information in different fields and formats makes filtered results harder to interpret. Before creating a tag, check whether the status, source, or class field already represents what you need.
| Field | Purpose |
|---|---|
| Source | Record the channel that brought in an inquiry and read the source breakdown. |
| Status | Identify the inquiry's decision or follow-up stage. |
| Tag | Assign an inquiry or student to one or more shared groups. |
| Tag category | Bring related tag definitions together on the management screen. |
| Class membership | Establish a dated link between a student and an education group. |
Create a category and a tag
Define the category.
Add a category on the Tag Categories screen. Give it a name and description that clearly explain its scope. Search existing categories first to avoid creating another definition with the same meaning.
Assign the tag to a category.
On the Tags screen, enter the tag name and select its category. A tag must belong to a category, so create the category first if none is available.
Review your definitions.
Search by tag or category name. Use the category filter and active or inactive views to review the available definitions. Renaming a tag and creating a new tag are different actions.
Save the selection on an inquiry.
Choose the relevant tags when editing the inquiry or using the tag field in the task-completion flow. Before saving, check that any existing tags you want to keep are still selected.
Keep existing selections when changing tags
When inquiry tags are saved, Course uses the entire selected set. If an existing tag is missing from that set, its link to the inquiry is removed. Review the full selection rather than focusing only on the new tag.
Editing a tag's name or category is different from changing the tags selected on an inquiry. The former changes a shared definition; the latter changes its relationship to a particular person's record. Consider which record each management action affects.
What happens to tags when an inquiry becomes a student record?
When an inquiry is converted to a student record, its tags are copied to that student. This preserves the grouping at the time of conversion. It does not mean that later tag changes will always stay synchronized between the two records.
A tag's name alone does not verify an academic outcome or a completed transaction. Check class participation through membership, collected payments through payment records, and exam results through result records. Do not use tags as evidence in place of those records.
Frequently asked questions
Can an inquiry have more than one tag?
Yes. Inquiry tags are stored as a selected set. Review all the selections you want to keep when saving.
Can I create a tag without a category?
Creating a tag requires a category selection. If no suitable category exists, define one on the Tag Categories screen first.
Does adding a tag place a student in a class?
No. Class membership is created through a separate placement action in the education area.
