How do you review sales and discounts in Course?
Every new sale in Course starts by awaiting management approval. The Sales Approvals screen lets you review pending, approved, and rejected sales separately. An approved sale is locked against editing.
Price changes and discounts are part of the review, but approval is not limited to sales with large discounts. Approval affects whether a sale is included in approved revenue statistics; it does not mean payment has been collected.

Understand the sale approval statuses
Sale approval, contract status, and collections are separate records. An approved sale does not establish that installments have been paid or that money has entered a cash account.
| Status or action | Effect |
|---|---|
| Awaiting approval | The sale awaits a management decision and is excluded from approved revenue statistics. |
| Approved | The sale is included in approved revenue statistics and locked against editing. |
| Rejected | The reason is recorded, and the sale can be reviewed again after necessary corrections. |
| Approval revoked | With a recorded reason, the sale returns to awaiting approval and is excluded from approved revenue until it is approved again. |
Review a pending sale and record a decision
Open the correct sale.
Check the student, institution, and sale details. One student may have more than one sale, so confirm which sale the decision concerns.
Review how the price was calculated.
Check product quantities and unit prices, line discounts, the overall discount, any amount adjustment, and rounding if applied. Do not infer the final net amount from a single discount percentage.
Check the payment terms.
Consider the down payment field, number of installments, first due date, and resulting schedule together. These describe the terms; consult collection records to see whether any money has actually been received.
Record the decision and its reason.
If you have permission, approve or reject the sale. A rejection requires a reason. Then check the updated status and the follow-up records on the associated inquiry.
What happens after a sale is rejected?
The decision is recorded with the user, time, and note. A decision note is added to the linked inquiry; after a rejection, a correction task may be created for the sale's advisor. Read these records to identify which terms need another look.
When the sale is repriced, it returns to awaiting approval. Check whether the original reason for rejection has been addressed. Even if a line amount has been corrected, an error in the payment schedule may still require review.
What does revoking an approval allow?
Revoking approval requires a separate permission and a reason. It returns the sale to awaiting approval without deleting existing installments or collections. Permission to approve a sale does not also grant permission to revoke its approval.
Even after approval is revoked, Course blocks repricing a sale with any partial or full collection. Do not treat revocation as permission to make every change. Check the related financial records to understand the effect of payments already received.
Frequently asked questions
Does a sale without a discount still require approval?
Yes. In the current Course workflow, every new sale awaits management approval.
Does rejecting a sale refund money already collected?
No. Approving or rejecting a sale does not change its installments or collections. Cancellation and any applicable refund follow a separate process.
Can a sale always be edited after approval is revoked?
No. Revocation removes the approval lock, but the restriction on repricing a sale with a recorded collection still applies.
