How do you transfer a student between classes in Course?

In Course, changing a student's class ends their active membership in the original class and adds them to the destination class. Team Builder provides this move. The student record remains; it is the class membership that changes.

The move records a leaving time for the original class and a joining time for the new one. These periods let you read past attendance alongside the current class roster. A class transfer does not recreate the student record or past lessons.

Move the student to the destination class

  1. Confirm the student and both classes.

In Team Builder, identify the right student, their current class, and the intended destination. Review the destination's level, institution, and lesson schedule.

  2. Check capacity and scheduled lessons.

Review the destination class's homeroom capacity and the student's other scheduled lessons. Team Builder blocks the move when its capacity check finds the room full; consider any other suitability warnings as well.

  3. Move the student.

Move the student into the destination class. The flow removes the student from the original class first, then adds them to the new class. Wait for the result before attempting another move for the same student.

  4. Check the current memberships.

After the success or error message, inspect both class rosters. Confirm that the student is in the destination class and no longer has an active membership in the original class.

What if one step of the move fails?

If removal from the original class succeeds but adding the student to the destination fails, Team Builder tries to add them back to the original class. If that attempt also fails, the roster is refreshed and the student may be reported as having returned to the student pool.

Do not assume that every move completes as one indivisible operation. Read the error and check the student's actual membership before trying again. Re-adding the student can change membership dates, so review affected attendance dates after a failed move.

Which records does a class transfer affect?

Changing classes does not decide whether a new course of study should be charged. Manage any necessary sale separately from class membership.

Which records does a class transfer affect?
RecordWhat to check
Original class membershipThe active membership ends with a leaving time.
Destination class membershipAn active membership begins with a new joining time.
Past attendanceMarks remain attached to their original class session and date.
New attendanceRecord it against the destination class and its membership period.
Sales and paymentsThese are separate records; check any relevant sale rather than treating the class move as a financial transaction.

What happens if the student returns to a former class?

Adding a student back to a class they previously left opens a new membership period. It does not erase the earlier leaving date or make the two periods continuous. If an active membership already exists, adding the student again does not create a second active one.

When reviewing attendance, use the membership period that covers the attendance date, rather than only the student's current class. Recreating old marks in the new class could count that history twice. Correct an incorrect mark on its original session and date.

Frequently asked questions

Does removing a student from a class delete their student record?

No. The class membership ends with a leaving date; the student record remains separate.

If a move fails, is the student always still in the original class?

No. Adding the student back can fail too. Read the error and check the current class rosters and student pool.

Do past attendance marks need to move to the destination class?

Past marks remain with their original class session and date. Record attendance in the new class against the new membership period.
