Setup and administration

How do you import inquiries from Excel into Course?

The inquiry import screen in Course reads an Excel or CSV file and creates inquiry records. For Excel files, it uses the first worksheet. It matches recognized column headings to fields and previews the rows to be imported.

This feature imports inquiries. It does not create historical sales, cash account transactions, installments, or attendance records in bulk. When planning a move from another system, identify exactly which data you intend to import so the file is not mistaken for a complete system migration.

Prepare the file and import its rows

  1. Download the template.

Download the inquiry template from the import screen. Put the records on the first worksheet, with field headings in the first row.

  2. Complete the required fields.

Check the full name, phone number, source, and institution name. Make sure the institutions have already been defined in Course; a blank name or one that matches multiple institutions produces an error.

  3. Review the column mapping and preview.

After selecting the file, inspect which column maps to each field. Unrecognized headings or additional headings for an already-mapped field may be ignored, so check the mapping before importing.

  4. Compare the results with the records.

After importing, review created, skipped, and failed rows separately. Correct the stated reason for an error; do not count a skipped row as a newly created inquiry.

What rules apply when the file is processed?

Preserve values such as phone numbers and identity numbers as text in the file. The importer reads the displayed cell text; it cannot restore digits that were already lost or numbers that were already corrupted in the file.

What rules apply when the file is processed?
RuleEffect
First worksheetRows on other worksheets are not read in this import.
5,000-row limitThe preview processes the first 5,000 nonempty data rows and reports rows beyond that limit.
Column-heading matchingRecognized headings are automatically mapped to the corresponding fields.
Phone-number checkNumbers are normalized to a Turkish national format; invalid numbers are rejected.
Identity-number fieldWhen provided, its 11-digit format is checked. This is not official identity verification.

How are duplicate inquiries handled?

The import normalizes each phone number and compares it with existing inquiries and rows already processed in the same import. A row with a matching phone number is skipped; the existing inquiry is not updated with data from the file.

Do not use this import as a bulk update tool. During file preparation, check whether records sharing a phone number really belong to the same person. Identify the existing record associated with a skipped row and make any needed correction in that record.

Why can the preview differ from the final import result?

The browser preview checks the file's format, required fields, and duplicate rows within the file. The actual import also checks existing institutions and inquiries, so a row marked ready in the preview may still be skipped or return an error.

Use the created, skipped, and error statuses on the results screen as the outcome. Opening the file does not establish that every row was imported. If you need to split a large file, recheck the first worksheet and row limit in each part; correct the error list instead of reimporting records that succeeded.

Tags are matched by name. Names that are unknown or match more than one tag may be omitted; new tags are not created automatically. Check the assigned tags after importing. Email and education-interest details are added to the inquiry note.

Frequently asked questions

Are all worksheets in the file imported?

No. Only the first worksheet is read. Records on other worksheets must be prepared separately.

Does the import update an inquiry with an existing phone number?

No. A row with a matching phone number is skipped. This flow creates new inquiries.

Is a row marked ready in the preview certain to be created?

No. The preview is not the final decision. The actual import checks institutions and existing inquiries; verify the outcome in the import report.
