Setup and administration

How do you track multiple course branches in Course?

In Course, institutions are linked to brands. Inquiries, students, rooms, classes, and exams carry their institution information, while a teacher can be linked to more than one institution. Tracking several branches starts with recording which institution each item belongs to.

Read the institution selected on screen, the report's date range, and the definition of each measure together. Comparing similarly named figures with different scopes can suggest a difference in branch performance that the underlying records do not support.

Set up the institution scope correctly

  1. Check brands and institutions.

Verify each institution's name, linked brand, and actual branch relationship. If you import inquiries from a file, accurate matching of institution names matters there too.

  2. Select the screen scope.

Select the relevant brands and institutions when reviewing operational screens. A record opened through a direct link or an additional filter may show a different scope from the usual view; read the scope shown on screen.

  3. Review shared resources.

Check the institution links and placed lessons for teachers who work at more than one institution. Do not schedule a lesson based only on an open slot at one branch without reviewing the teacher's timetable at the others.

  4. Evaluate like with like.

Read inquiry, sales, and finance data in Statistics using a consistent date range and institution selection. Evaluate current-state indicators separately from activity within the selected period.

What do the institution summary figures show?

The number of students placed in classes in an institution summary need not equal the number of all student records. Students who have not been placed in a class can be outside that measure.

What do the institution summary figures show?
IndicatorScope
ClassesClass records linked to the institution.
StudentsDistinct students with active memberships in the institution's classes.
Lesson sessionsSessions linked to the institution; unplaced lessons can be tracked separately.
Rooms and teachersPhysical rooms linked to the institution and teacher records associated with it.
Exams and resultsExam statuses and recorded result entries linked to the institution.

How do period reports differ from current-state figures?

In Statistics, read activity measured over a selected date range separately from current-state figures. Do not treat receivables outstanding today as though they covered the same set of dates as inquiries or sales created only during the selected period.

In the source report, conversion counts selected inquiries linked to student records. Payments collected are money movements. If you need to combine rates from different branches, use the summed numerators and denominators with the same definitions instead of averaging percentages directly. Do not produce rates that the underlying records cannot verify.

Is screen scope the same as a user's permissions?

A brand or institution filter narrows the view; it does not, by itself, define access rights. Role permissions for actions are checked separately. In the current version, the data-scope options on the role screen should not be assumed to restrict records across every query.

For a teacher assigned lessons at more than one institution, the timetable conflict check uses the day and slot number. If institutions use different actual clock times for those slots, compare those times separately. The check does not establish travel time between branches or automatically balance a teacher's workload.

Frequently asked questions

Can a teacher be linked to more than one institution?

Yes. A teacher record can hold links to multiple institutions. Review the relevant sessions separately to see where that teacher has been scheduled.

Does the institution's student count include every student record?

The institution summary counts distinct students with active class memberships. It does not have the same scope as a count that also includes students without a class.

Is an institution filter a security permission?

No. A view filter and permission to perform an action are different. Do not assume data access is restricted solely because a filter is selected.
